Reservation FAQs

Requesting Space on Campus FAQs

Access the the Campus Reservation System (CRS) by signing on and using your UNCW credentials. 

  • Faculty and Staff should utilize the CRS to submit requests for departmental events.
  • Registered Student Organizations (RSOs) Reservation Delegates.
  • At this time, students who are not a reservation delegate for a Registered Student Organization may only submit requests for Problem-Based Learning rooms, located in Veteran’s Hall.
  • Everyone may browse the Campus Reservation System (CRS) for events and facilities without an account.
  • Those without an account and/or external to the university may contact clconferences@uncw.edu. 

Once logged into CRS, there is tutorial on how to use the system. If you have questions, contact clreservations@uncw.edu.

You must have a CRS web account to submit a reservation request and tentatively hold your needed space.

  • Faculty and Staff should utilize the CRS to submit requests for departmental events.
  • Registered Student Organizations (RSOs) may have up to 2 Reservation Delegates. To become an official Reservation Delegate, a student must:
    • Be classified as a Reservation Delegate on their RSO’s Wavelink page.
    • Pass the Campus Reservation System training course with at least an 80%. Please contact clreservations@uncw.edu for instructions on accessing the course.
  • At this time, students who are not a reservation delegate for a Registered Student Organization may only submit requests for Problem-Based Learning rooms, located in Veteran’s Hall.

Conferences, Events, and Reservations (CER) timeline for accepting on line space requests for Campus Life venues is as follows:

For Fall events, the window opens beginning the 4th Monday in February;

For Spring events, the window opens beginning the 1st Monday in August;

For Summer events, the window opens beginning the 4th Monday in January. 

Charges for space including but not limited to equipment, staffing, parking, etc., will vary depending on the reserving office. List of reserving offices can be found here: https://uncw.edu/reservations/contact.html

For Campus Life venues, event charges will depend on your group category:

Group 1 - UNCW Registered Student Organizations and Departments

Group 2 - UNCW Student Organizations or Departments charging fees for admission, registration, soliciting sponsorships or other monies exchanging hands OR external groups who have secured sponsorship by University departments in which the department becomes the sole contact and responsible entity for the event

Group 3 - External (off campus) groups and organizations
