Reminder
Please ensure your address is up-to-date for W-2 distribution. Any changes to your address should be submitted by December 15th to hrsearch@uncw.edu.
Additionally, to receive your W-2 electronically, please navigate to the Employee Dashboard and provide your consent by December 15th. Opting for electronic delivery will eliminate the wait for mail and reduce the risk of forms being lost or damaged.
1. Go to the Employee Essential page and select Employee Dashboard.
2. In Employee Dashboard you will see a section that lists several payroll options, select Taxes.
3. Select Electronic Regulatory Consent.
4. On the Electronic Regulatory Consent page check the box and click submit. Now you don’t have to wait on the mail or worry that your W2 is lost.
Direct Deposit
Effective Thursday, June 1, 2023, the Payroll Office will only accept direct deposit requests via the new DocuSign Direct Deposit Form. Please visit Employee Essentials in mySeaport to access the form.
Attention: A voided check or bank-issued letter verifying the account owner's name, routing, and account numbers must be attached to this form prior to submission. Please do not initiate this form until you have all the required information and documents.
If you have not yet submitted a completed direct deposit form, you will receive a paper check.
Payroll checks are sent to the Cashier's office for pickup on payday, you must have a picture ID. Always confirm hours of operation and closing dates, this can be found on the cashier's website. If the office is closed due to holidays or COVID, checks will be mailed to your primary address.
Keep Your Address Current
It is very important to keep your primary mailing address current. UNCW uses your primary address to mail benefit enrollment information and W2s. If you need to update your address, please email Human Resources.
Timesheets
Timesheets are required for all hourly student and graduate employees, temporary staff employees and employees being paid overtime, compensatory time, shift premium, on call or holiday premium.
Students enter time worked online through Web Time Entry. Student hours worked must be approved by their supervisor online through Web Time Entry by 5:00pm. on the third working day of the month.
If you are a UNCW employee and work in a state other than North Carolina, you may have a tax liability to the state in which you work. Income tax withholding defaults to North Carolina. Thus, if you are working from another state, please contact our Tax Accountant.
International Employees
All foreign nationals who are employed by UNCW must have a Social Security number and a visa status that allows them to work in the U.S.
Taxes for International Employees
Foreign Nationals must first meet with the university's Human Resources Department to complete the I-9 process. Foreign Nationals will not complete a W-4 or a NC-4 form. Once this has been completed, they will need to contact the Tax Accountant to complete the necessary tax forms and paperwork that will allow them to work on campus. Receive Your W2 Faster
If you did not consent to receive your W2 electronically, paper W2s will be mailed to your permanent address with a postmark date no later than January 31.
The U.S. Postal Service could take up to three weeks or more to deliver your W2. Please allow this time before contacting the Payroll Office for a reprinted copy. **
