Poster Printing

Presenting Your Research

CSURF will print research posters for undergraduate and graduate students. Please keep in mind that printing posters is just one of many things that Dr. Liu, our Assistant Director of CSURF, does. We will provide this service free of charge but do not have the personnel to print posters on demand. CSURF is not a print center. UNCW Printing Services is often a good option if you need a quicker turnaround than we can provide.

Instructors and organizers of events that require students to get posters printed: you must contact Dr. Liu (liuk@uncw.edu) as soon as you know this will be a requirement. She will provide you with a specific deadline and instructions for submitting posters that will need to be shared with the students. It is guaranteed that she will reach her maximum possible number of posters in November, early December and April, so you will want to get in the schedule early to avoid having to change deadlines for your students and schedules for your courses.

April Note: The rest of the Spring 2024 semester is already booked. No more posters will be able to be printed. May decisions will be case-by-case decisions as we pack up to move out of the library due to construction.

General instructions and tips for making posters can be found on the How to Make a Poster and Guidelines for Posters pages. No teal backgrounds! Instructions for submitting your poster to be printed are below. We will print posters ONCE, so please read everything very carefully. We reserve the right to decline posters that do not meet the rules and guidelines described.

All submitted posters must be “Printer Ready”. This means all proof-reading must be done and approvals received from your mentors and co-authors before the file is submitted. We will not make changes or corrections to poster files. Do not submit "placeholder" posters just to meet a deadline.

Posters sent by email will not be printed.

We reserve the right to decline posters from those who repeatedly abuse the system.

How to Submit a Poster to be Printed

NOTE ABOUT THE SPRING SEMESTER: I have committed to the maximum number of posters I can print during the Spring 2024 semester. I cannot accept any more posters to be printed. 

 

If you are assigning posters in your classes or organizing an event, you must work with me (liuk@uncw.edu) to agree on a due date and receive specific instructions.

Students: You should have received instructions for how to submit your poster from your instructor or event organizer. If they have not provided you with this information, please ask them coordinate with Dr. Liu (liuk@uncw.edu).

All posters must be converted to a PDF (see instructions here) and named with LastName_UNCWUserName at the beginning of the file name (note: your username is the beginning of your email address, NOT your 850 number). For example, “Jones_tnj2394 ShowcasePoster.pdf”. This is how we know how to contact you if there are problems or when your poster is done. Incorrectly naming your poster may cause delays in communications. We are not responsible if you submit a ppt file and your poster does not convert correctly in the printing process. You will need to get it reprinted elsewhere.

To submit a poster for printing, upload the pdf of your poster to the appropriate folder below. You will probably need to click on the blue "+Add new" button in the top left corner and then click on "Files upload". You will not be able to edit the filename so name it correctly before uploading it. The dates listed below are the days I will start printing. I will do my best to get them all done that day but I cannot guarantee that will be the case, as it depends on my schedule, how many posters were submitted, and if the printer is cooperating. Therefore, if you need your poster on March 22, we do not recommend submitting it to the March 21 folder. Rather, you should submit it to the March 14 folder. The links will automatically expire at 11:59pm. Plan accordingly, as posters sent by email will NOT be printed. The exact timing of when your poster will be printed is determined by how many posters have been submitted and Dr. Liu’s schedule. You will receive an email when your poster is ready to be picked up.

 

Note: No more posters will be printed during the Spring 2024 semester.

Troubleshooting Submitting Posters

If you upload the wrong file and OneDrive won’t let you delete it, there are many options to resolve the problem:

  1. You can override the file by uploading a new file with exactly the same name.
  2. Move it to the Do Not Print folder and then upload the correct file into the original folder. If you get an error about authorization privileges, calmly email Dr. Liu with the file name you would like her to delete.
  3. If the only problem is an incorrect filename, calmly email Dr. Liu with the current file name and what the new file name should be.
Do not leave multiple files in the main folder. This can result in significant delays or the incorrect poster being printed, which wastes time, energy, and resources.

There should be only one poster per file. If a file has more than one poster, we will simply not print anything.

Reminder: We will print posters ONCE. If you must make a change to your poster file after the folder has been closed, email Dr. Katherine Liu (liuk@uncw.edu) so the job can be put on hold. It is your responsibility to make the changes and submit a new PDF file for printing in an appropriate timeframe. CSURF will only print one poster per student per event so if the original poster has already been printed, you will need to find another printer (many departments have printers, but you can also go to UNCW Printing Services, Office Depot, FedEx, etc). If the error is due to something we did (e.g., the colors are off due to an empty cartridge), we are happy to reprint but this must be brought to our attention within a reasonable timeframe and do not expect an on-demand reprint.

If you are presenting the same work at two events relatively close together, please save your poster and reuse it at subsequent events.
