Facility Use Guide

Ticketing Services 

All events held in the Kenan Auditorium are required to be ticketed events. The Kenan Auditorium Ticket Office provides tickets and/or ticket sales for all events held in the building, as well as for other events at other venues where ticketed admission is desired.

Ticket Office Hours

In-season Hours: T-Fr, 12-4 p.m. (And one hour before performances)
Summer Hours: T-Th, 12-4 p.m. (And one hour before performances)

Ticket Purchases

Patrons and guests can purchase tickets by telephone (910.962.3500 or 800.732.3643), online, or in person (Kenan Auditorium Ticket Office, 515 Wagoner Dr., Wilmington, NC 28403-5966). The Ticket Office accepts cash, personal checks made out to UNCW, MasterCard and Visa. Renters are responsible for MasterCard and Visa processing fees currently 3%.

Commission/Administrative Fees

The University charges a commission/administrative fee ticket sold. This includes sales commission, printing costs, and administrative costs.

Consignment Tickets

These are tickets that renters distribute/sell on their own for a price determined by the renter. Consignment tickets are treated like cash, considered sold upon purchase, and cannot be returned. The fees associated with consignment tickets are billed at Settlement. In the case of consignment tickets, reporting and remitting of sales tax is the sole responsibility of the consignee. These are not complimentary tickets.

Admission Free Event Tickets

Sales Tax

Per North Carolina Department of Revenue and State of North Carolina statute, Kenan Auditorium will apply the mandated 7% sales tax to each ticket sold from the Auditorium ticket office (state sales tax of 4.75%; New Hanover County sales tax of 2.25%).

Online Fee

Tickets purchased online are subject to an online convenience fee paid by each patron. This fee scales depending upon the face value of a ticket and is taxable.

Ticket Packaging Options

Ticket packaging options are available, including multiple price options, discounts for certain age groups (such as senior citizens or students) or associations, group/bulk sales, and so forth. As the packaging options offer varying degrees of support, service, and cost, the Renter is expected to contact the Patron Services Manager (Abigail Beck, 910-962-3931 or via email) to determine the ticketing option most suitable for a specific event. The final decision on all ticketing options will be made by the Operations Director.

Refunds & Exchanges

All sales are final. Kenan Auditorium has a "No Exchanges/No Refunds" policy. Requests for refunds will be forwarded to the Renter/Renting organization. In the event of a cancellation, the Renter/Renting Organization will be responsible for all refunds.

House Seats

Kenan Auditorium reserves the right to have and use, without charge, a minimum of ten (10) reserved seats per performance.

Records & Ticketing Reports

Records and reports will be provided by the box office for each performance. For no additional fee, one copy of the patron mailing list can be provided if requested. Please contact the box office for the availability and pricing of additional copies or additional reports.

Payout

Receipts for cash, credit card and check sales are deposited at the end of each business day into a University Trust Fund. A University check will be issued within thirty (30) days of the last performance in the amount of gross sales, less expenses, based on the Ticket Office final report for ticket sales. Early or partial payouts are prohibited by the University. 

Renting Kenan Auditorium

With a professional stage crew and box office staff, the 1000-seat Kenan Auditorium is an ideal venue for arts organizations, corporations, churches and other civic groups to host performances, concerts, lectures, conferences and large-scale meetings. Staff

  • All events require a Tech Director and/or Crew Chief and two or more stage technicians.

  • The Crew Chief and technician(s) will open the facility, provide the requested equipment, and close the facility.
  • The minimum call for the Crew Chief and technician(s) is one hour before the renter’s arrival or load-in and one-half hour after the event (or load-out).
  • Security will be evaluated and scheduled per event need as directed by Operations Director.

Parking

Parking for Kenan Auditorium is managed by UNCW Auxiliary Services. Auxiliary Services Parking staff are required for all events and a Facility Use charge of $100.00 is applied to each event. Parking staff are assigned based on the projected number of event attendees and charged at a rate of $84.00 per parking staff attendant.

  • Up to 275 attending = 2 parking attendants
  • 300 to 500 attending = 3 or 4 parking attendants
  • 500 to1000 attending = 4 or 5 parking attendants

Minimum Call

All Kenan Auditorium rentals require a House Manager, a Crew Chief and two or more stage technicians. Ticket Office staff and additional technicians are available as needed or as determined by the Operations Director. The minimum call for all staff is four hours.

Minimum Requirements for Technical Staff

  • All events require a Crew Chief and two or more stage technicians.
  • The Crew Chief and at least one technician must be on duty for the duration of the event. The Crew Chief and technician(s) will open the facility, provide requested equipment, and close the facility.
  • The minimum call for the Crew Chief and technician(s) is one hour before renters arival or load-in and one-half hour after the event (or load-out).
  • In no case may the call for Crew Chief or technician(s) be fewer than four hours. 

Minimum Requirements for House/Ticket Office Staff

  • All public events which include an audience require a House Manager and usher/ticket takers, unless determined otherwise by Operations Director.
  • The House Manager will be on duty one hour prior to the opening of the house and remain on duty until the audience has left the building.
  • Ticket Office personnel on duty for an event will include a Ticket Office Manager and a minimum of one ticket clerk.

Safety Guidelines

For your safety, all guests and their bags are subject to inspection before entry.

  • Kenan Auditorium asks our guests to limit what they bring with them to events. Less items to check means that lines to enter Kenan Auditorium are shorter and faster.   
  • This inspection may include the use of metal detectors.
  • Items normally allowed include:
  • Bottles - Empty plastic water bottles that can be filled at one of our water fountains in our lobby.
  • Personal safety devices including pepper spray, keychain alarms, or other non-lethal self-defense devices as allowed by NC Law.
  • Prescription medications & medical supplies such as walkers, oxygen tanks or concentrators, and diabetic travel kits.
    • Seat Cushions – Please limit to standard stadium cushions of 3-inch depth or less.
    • Service Animals – Includes a person who is training the service animal and the animal wears a collar and leash, harness, or cape that identifies the animal as a service animal in training.
    • Small Snacks - As needed for special dietary reasons.
    • Umbrellas
  • Restricted items include, but are not limited to: audio recorders, baby seats or baby carriers, backpacks (school type and hiking backpacks) or bags larger than 12 x 12 x 10.25 inches (without compression), balloons, beverages (except bottled water as noted above), cameras, coolers, emotional support animals, fireworks, flowers (except for local productions and events), food (except small snacks needed for special dietary reasons), gifts (wrapped or unwrapped), illegal drugs, iPads and other electronic tablets, knives over 3 inches in length, laptop computers, laser pointers, noise makers, parcels or packages, restaurant takeout food containers, signs or banners, stuffed animals, video recorders, or weapons of any type or kind.
  • Small clutch purses are STRONGLY recommended.
  • Parenting bags (including use of a backpack as a parenting bag) that have diapers and/or other parenting necessities are permitted regardless of size when accompanied by a child. All bags require inspection prior to entry.
  • Medical bags, or any bags carrying medical items such as prescription medicine, asthma inhalers, EpiPens, and other medical equipment are permitted regardless of size. All bags require inspection prior to entry.
  • Firearms and/or Concealed Handguns, with or without a concealed handgun permit, are NOT permitted at Kenan Auditorium. If any guest arrives at the facility with a firearm or handgun, you will be instructed to return the weapon to your car. Kenan Auditorium does not have a weapons check-in, and we will not take possession of firearms under any circumstances.
  • The only persons allowed to bring firearms into Kenan Auditorium are credentialed WILMINGTON POLICE DEPARTMENT (WPD) OFFICERS IN GOOD STANDING. If you are an off-duty WPD Officer, please check in with one of the University Police Department Officers working at the Kenan Auditorium Event to verify your credentials before entering Kenan Auditorium. Please note that if our University Police Officers have any doubts or concerns, their decision on your ability to carry inside the building is final.

Standard Rider

All contracts for performances at Kenan Auditorium are subject to the University's Standard Rider. The following descriptions of services and requirements comprise the STANDARD RIDER referenced in all contracts. By signing contract(s), Renters agree to abide by this rider and pay all scheduled and incidental fees and charges. Failure to comply may result in a noncompliance fee, withdrawal of access to the auditorium and/or event termination.
Per University policy, payment for all Kenan Auditorium invoices is due no later than 30 days after receipt of the invoice. Failure to comply will result in loss of future event scheduling opportunities.

University Resources

The University will provide the Renter with technical services for activities scheduled at Kenan Auditorium. Production services, Ticket Office services, equipment, and technical staff can be arranged by the Director of Artistic Operations at the rates described in the Rental Costs section.

Deposit

Kenan Auditorium requires a nonrefundable deposit in the amount of the projected facility rental total. 

Cancellations

If Kenan Auditorium is rendered unsuitable for the conduct of the contracted event by reason of Force Majeure, the University may terminate this Agreement by written notice within five days following such casualty. Force Majeure shall mean fire, earthquake, hurricane, flood, act of God, epidemics or pandemics, nuclear explosions, strikes, work stoppages, or other labor disturbances, riots or civil commotions, war or other act of any foreign nation, terrorism, power of government, or governmental agency or authority, or any other cause like or unlike any cause mentioned which is beyond the control of the University. The University shall not be responsible for any damages sustained by the Renter and is under no obligation to reschedule the event, but Renter shall be entitled to a refund of the deposit if any.

If the Renter cancels the event less than 30 days prior to the event, Renter will be held responsible for contracted venue, staff and service charges, unless the contracted event is canceled by reason of Force Majeure. [See above]

The Renter must return a signed contract to the Kenan Auditorium office thirty days prior to the scheduled event. Failure to do so may result in the cancellation of the event and removal from the auditorium schedule

Ticketing

All events at the Kenan Auditorium must be ticketed events. Ticketing is handled through and supervised by the UNCW Arts Ticket Office.

Sales Tax

Per the North Carolina Department of Revenue and State of North Carolina statute, Kenan Auditorium will apply the mandated 7% sales tax to each ticket sold from the UNCW Arts Ticket Office (state sales tax of 4.75%; New Hanover County sales tax of 2.25%).

N.C. General Statute § 105-164.4(a)(10)

A person that operates an entertainment venue that offers an entertainment activity subject to the tax imposed by N.C. Gen. Stat. § 105-164.4(a)(10) is regarded by the Secretary as the retailer. The retailer that operates an entertainment venue is liable for the 4.75% general State and applicable local and transit rates of sales tax on the admission charges, notwithstanding that a ticket agent or person, other than a ticket reseller, sells admission tickets to the entertainment activity in addition to the retailer that operates the entertainment venue. Where the terms of an agreement provide that a person other than the operator of an entertainment venue is liable for the sales and use tax on the admission charges to the entertainment activity subject to tax per N.C. Gen. Stat. § 105-164.4(a)(10), the person that operates the entertainment venue is not liable for the tax.

NC 4% Withholding Tax

UNCW is putting Customer on notice regarding North Carolina law that any nonresident individual or entity (corporation or limited liability company or limited liability partnership or general partnership) or ITIN contractors performing personal services in NC for compensation (not wages) over $1500 in connection with a performance, an entertainment or athletic event, a speech, or the creation of a film, radio, or television program must withhold 4% of the amount received for possible payment of North Carolina state tax purposes. The withholding shall apply to any and all partial payments which also may be required to any address in advance of or on date of performance. This withheld amount will not be paid by UNCW “in addition to” such contract fees under any circumstances.

An entity which is chartered or formed under the jurisdiction of laws other than North Carolina is exempt from this withholding tax if:

1) It is a limited liability company or a corporation and can provide a copy of a Certificate of Authority it has obtained from the North Carolina Secretary of State; or

2) It is a general partnership or limited liability company and can show it maintains a permanent place of business in North Carolina; or

3) It can provide proof of non-profit status by submitting a copy of the non-profits’ federal determination letter of tax exemption or a copy of a letter of tax exemption for the Department of Revenue.

Documentation for rental/booking

A signed contract, form W-9, proof of insurance and applicable deposit must be received 30 days prior to the event or the event date will be released.

Merchandise Sales

Merchandise sales, excluding food and beverage, may be sold in the lobby of Kenan Auditorium (one 6-foot table is allowed per UNCW Fire and Safety Code). University policy stipulates that 20% of all sales revenues revert to the Auditorium. No outside food or beverages. Concessions may be arranged by the Director of Artistic Operations.

Insurance

The Renter and/or Client agree to purchase at its own expense a comprehensive liability insurance policy. A certificate of insurance verifying the existence of this policy must be presented to fully execute the rental agreement. The policy coverage shall include general or public liability; property damage; and bodily injury. The insurance policy must be written by a company licensed to do business in the State of North Carolina. The policy shall have a per occurrence minimum limit of $1 million and an aggregate limit or a general aggregate limit of $2 million property damage. The university shall be named as an additional insured on the Renter's general liability policy.

The endorsement adding the university shall read as follows:

The Client agrees that the insurance purchased hereunder shall be the primary coverage for any and all incidents occurring during the rental period. There will be no circumstances or policy provisions or restrictions under which the university's rights can be subrogated to any third party.

A certificate evidencing the insurance as required under this Agreement shall be delivered to UNCW no later than 30 days prior to the start of the event. Each such certificate shall contain a valid provision or endorsement that the policy may not be canceled, terminated, changed or modified without giving ten days written notice to the UNCW. Providing and maintaining insurance coverage is a material term of this contract and a basis for cancellation of the same.

Incident Reports

All incidents of injury, equipment failure or damage, facility damage or violations of Federal/State laws, local ordinances or University policy must be reported immediately. The auditorium staff will take appropriate action and file reports. The Renter is responsible for informing all organization/company members of this requirement.

Rehearsals

The lobby must be kept clear and quiet at all times. Rehearsals and classes must be restricted to the spaces assigned. The Renter must maintain appropriate decorum while in the building so that other programs, work duties, rehearsals, and classes are not disturbed. The Renter must provide supervisory staff for all of the organization's participants.

Housekeeping

Renters must keep spaces clean and leave rooms in the condition they find them. All discarded items must be small enough to fit into the dumpster. Items left in the building and items too large to fit into the dumpster will be removed. Removal costs will be billed to the Renter. The use of glitter is prohibited in Kenan Auditorium and on stage.

Food & Beverages

Craft Services and Hospitality are permitted backstage. Food and beverage service may be discussed as an addition to your rental.

NC law prohibits the possession, sale, or consumption of alcoholic beverages on state property except as approved, licensed and administered by the University's contracted caterer. Possession, sale and/or consumption of controlled substances as defined by the North Carolina General Statutes constitutes a violation of state law, local ordinance, University policy, and contract terms. Such violation by any company member or organizational member is grounds for immediate termination of the event.

It is the responsibility of the renter to inform all participants of UNCW Kenan Auditorium policies. Noncompliance may result in a fine.

Smoking

Smoking is not permitted in the auditorium or within 25 feet of the building. The sole exception is the inclusion of smoking in a theatrical presentation in which such smoking is deemed essential to the furtherance of the presentation and integral to the performance. Such usage must be approved in writing from the Director of Artistic Operations and made a part of the contract prior to mounting the show. In addition, a technician designated as a fireman must be hired and must be on duty at any time smoking occurs on stage.

Furniture

Furniture and equipment may not be moved without express staff permission. Damage to any furniture, equipment, or the building must be reported immediately. Repair/replacement costs will be billed to the renter.

Video/Photography

Renters that plan on capturing their event with video or photography must coordinate with Kenan Auditorium Technical Director two weeks prior to the event date. Kenan Auditorium is not responsible for providing cabling or equipment to 3rd party videographers/photographers. It is the responsibility of the renter to communicate to the hired source that any and all gear needed to perform that service should be provided by the hired party.

Equipment

The Kenan Auditorium maintains a standard set-up and par stock of equipment. Only Kenan staff may repair, replace, or substitute University equipment. Only staff technicians or contract employees will operate or move University equipment. Renters are liable for equipment damage.

Tent

If your event requires a tent, a dig permit must be issued by UNCW's Physical Plant (910) 962-3101 if tent spikes will be used. A dig permit is not required if the tent is weighted instead of spiked. Production tents set up behind the building should always be weighted, never spiked. Reception tents set up on the side lawn will typically use spikes and will require a dig permit. Any plans to use a tent as part of an event must be approved by the Director of Artistic Operations.

Catering

If a client desires food or refreshments backstage or at a reception site, it must be provided by Campus Dining (ARAMARK) by a separate contract with and billing by Campus Dining (910) 962-3600. The University's contract with ARAMARK applies to all functions on the UNCW campus, and ARAMARK provides all food service for events at Kenan Auditorium. The University will not permit the client to bring in food or beverages. Any plans to use catering as part of an event must be communicated to the Director of Artistic Operations.

Auditorium Staff

The Auditorium Staff will supervise the use of all equipment for all load-in and set-up activities, technical rehearsals, performances, strike, and restoration.

The Crew Chief is responsible for all activities backstage during load-in, rehearsal(s), performance(s), strike, and restoration. The Crew Chief will submit a Crew Chief's Report at the end of each rental period which will include time used, personnel involved, and equipment used, as well as any equipment failures, incidents or problems associated with the residency.

Client Staff: All volunteer or subcontracted staff provided by the client will need to report to Kenan Auditorium's Technical Director. Volunteer and subcontracted staff are held to the same policies and procedures as Kenan Auditorium employees. The policies and procedures include, but are not limited to, codes of conduct and crew attire. The Director of Artistic Operations and Technical Director reserves the right to dismiss any staff not in compliance with Kenan Auditorium policies.

Minimum Requirements for Technical Staff

  • All events require a Crew Chief and one or more stage technicians.
  • The Crew Chief and at least one technician must be on duty for the duration of the event. The Crew Chief and technician(s) will open the facility, provide requested equipment, and close the facility.
  • The minimum call for the Crew Chief and technician(s) is one hour before the event (or load-in) and one-half hour after the event (or load-out).
  • In no case may the call for Crew Chief or technician(s) be fewer than four hours.

Crew Meal/Break

Crew members may not work for a period of more than 6 hours per day without a meal and/or meal break of at least 30 minutes. Crew members working 10 or more hours will be given two meals and/or meal breaks.
Unless the crew member is relieved of all duty during his or her 30 minute meal period, it is considered an "on duty" meal period resulting in the application of a $36.00 buyout or presenter provided meal per affected crew member.

If the client fails to provide a crew member a meal and/or meal break, the client will be billed $36.00 per affected crew member for each meal and/or meal break missed.

Standard Set-Up

The stage, house, and lobby must be cleared after each use. Any items left by the Renter will be removed and the removal costs billed to the Renter.

Lighting Projection and Sound Systems

Lighting instruments are hung in a general lighting plot. The Renter will be billed for any changes to the Standard Plot as well as for restoration of the Standard Plot at the conclusion of the residency. Any additional equipment connected to the lighting system or audio system must be tested and approved by the Technical Director prior to use. Any damage to auditorium equipment resulting from unauthorized equipment use will be repaired or replaced at the Renter's expense.

Sound Levels

Kenan Auditorium enforces a maximum 92 Db sound level, as measured from the soundboard, for all events. The Presenter is expected to enforce this policy. Should Presenter or Artists refuse to adjust the audio level to appropriate decibel level, Kenan Auditorium shall reserve the right to stop the production, with the Presenter to be liable for all ticket refunds in addition to all other production charges incurred.

Strike

Renters must strike their productions immediately following the final performance. The strike must include all sets, costumes, and properties as well as the removal of all materials from the house and/or lobby, dressing rooms, and any auxiliary spaces used. Kenan Auditorium will not assume responsibility for any material left behind. Any left-behind materials will be removed at the Renter's expense.

Set Painting

No major set painting is allowed on stage. Drop cloths must be used for minor touch-ups.

Stage Floor

Occupational safety, health, and fire regulations must be observed at all times. The stage floor must be kept free of debris. Any special treatments of the stage floor or auditorium-owned floor coverings will be undertaken by the auditorium staff. Renters shall not apply any substances to the stage floor. Overtime charges plus expenses will be billed to the Renter for any additional maintenance required.

Nailing

Nailing, lagging, or screwing into the stage floor is prohibited.

Spike Marks

The Renter is responsible for removing all spike marks on the stage floor at the conclusion of the event. Spike marks should be made with chalk or a low-residue tape, such as spike tape or electrical tape, and removed by the Renter during strike. Paints, tacked markers, and high-residue tapes such as duct tape or masking tape may not be used on the floor. Such usage will result in removal/restoration costs billed to the Renter.

Curtains and Soft Goods

Nothing may be pinned, stapled, sewn, taped or otherwise attached to curtains and soft goods owned by the University.

Pianos

For events requiring a piano supplied by Kenan Auditorium, a University piano technician will tune prior to dress rehearsal. Any additional tunings, regulations, voicing, or touch-up tunings will be billed to the Renter.

Prop Storage

Kenan Auditorium does not have storage facilities available for properties and set pieces. All portable equipment, valuable set pieces, props, costumes, and make-up must be secured after each rehearsal or performance. Equipment may not be left on the stage, in the house, in the lobby, or adjacent offices. Costs incurred to remove such materials and equipment will be billed to the Renter.

Special Effects

The Renter must confirm all sets, lighting designs, and audio designs as soon as they are available for each production, a minimum of two weeks prior to the first usage. Fog and haze machines must use a water-based fluid and be approved a minimum of two weeks prior to the first usage. Any special effect involving potential risk to participants or to facilities must be approved, in writing, by Director fo Artistic Operations before first use in rehearsal.

Pyrotechnics

The use of any pyrotechnical equipment, including but not limited to fireworks, firecrackers, flash pots, and similar pyrotechnic devices or systems, is prohibited. The unauthorized use of pyrotechnics is grounds for event termination.

Rigging

The rigging of flying scenery must comply with the University theatrical rigging standards. All rigging and the operation of the fly system must be performed by a rigger certified by the University Safety Office. Only certified personnel are allowed on the pin rail floor, loading floor, and grid. Violation by the Renter or Renter's cast, crew, or organizational members is cause for event termination.

Lobby & House

The Auditorium House Manager is responsible for activities in the lobby and house. This includes the enforcement of prohibitions against smoking, the use of prohibited recording devices and cameras, and disruptive behavior. In addition, the House Manager is charged with restricting access to the house to ticket holders and authorized event staff and house personnel. It is the Renter's responsibility to inform participants of all prohibitions prior to arrival at Kenan Auditorium.

Security Services & Parking

Any use of Kenan Auditorium is subject to security evaluation and review by the University Police. Security guards and police officers will be assigned to all public events as determined by the Campus Police, a State of North Carolina Law Enforcement Agency. 

Parking Services are evaluated by UNCW Auxiliary Services. Parking attendants will be assigned to an event if deemed necessary. 

Prohibited Items

The following items are prohibited from entering Kenan Auditorium:

  • Alcohol & Illegal Drugs
  • Animals (Service animals welcome)
  • Balls or Frisbees
  • Cameras with lenses >5”
  • Coolers and containers (ice chests, thermoses, cups, bottles or other like containers)
  • Cans, Glass or Metal Containers
  • Confetti or Glitter
  • Fireworks, Flares or any Explosives
  • Helium Balloons
  • Laser Pointers
  • Outside food or drink
  • Personal Chairs
  • Remote Controlled Aircrafts (Drones)
  • Signs, Banners, Flags that obstructs view or contains inappropriate language.
  • Weapons of any kind
  • Anything deemed hazardous or unsafe by event personnel

Weapons

No weapons are permitted on UNCW property. It is unlawful for any person to possess any of the following items on UNCW property:

  1. Dynamite cartridge, bomb, grenade, mine, fireworks or powerful explosive.
  2. Any gun, rifle, pistol, or other firearms (whether unloaded or not).
  3. Any BB gun, air rifle, air pistol, stun gun.
  4. Bowie knife, dirk, dagger, switchblade knife.
  5. Razors and razor blades (except solely for shaving).
  6. Any sharp-pointed or edged instrument.
  7. Slingshot, leaded cane, blackjack.
  8. Metallic knuckles.
  9. Other deadly weapons.

The possession of a handgun by a person who has a concealed handgun permit is valid under Chapter 14 Article 54B of the N.C.G.S., or is exempt from obtaining a permit according to that Article, as long as the handgun remains and is properly contained in the person’s locked vehicle or a locked container securely affixed to the person’s vehicle. Authorized possession includes unlocking, entering and exiting the vehicle as necessary to properly contain the handgun for storage, conceal the handgun on the person or allow a passenger to enter the vehicle, as more specifically provided in N.C.G.S. 14-269.2(k).

Trespass

All rehearsals and performances are "closed events" in Kenan Auditorium. Only Renter's staff and authorized personnel may be admitted. Any other entry is deemed trespassing and the staff is authorized to take the appropriate actions.

User Access

Kenan Auditorium requests that the Renter's organizational members enter the building through the loading doors at the rear of the building. The Renter may access the building at the specific time indicated on the contract. Example: "Client Load-In/arrival: 6:00pm." Early arrival may result in a noncompliance fee.

Seating Capacity

Orchestra (first level) seating capacity is 728, including 11 removable seats for wheelchair patrons, and 10 ADA approved slide in seats. Balcony seating capacity is 286. There are no wheelchair-accessible seats and no ADA approved slide in seats in the balcony. There are no circumstances under which the occupancy may exceed available seats. The Renter may not allow the placing of additional chairs on the stage or in the aisles. "Standing Room" is not permitted.

House Staff

For every event in Kenan Auditorium, the House Manager, in cooperation with the Renter and Director of Artistic Operations, will determine the number of ushers, ticket takers and front of house personnel required for the event. Volunteer ushers are available for most events. In the event that volunteer ushers are used, Renter agrees to provide admission to the event at no charge to the ushers. If, as determined by the House Manager, an adequate number of volunteer ushers will not be available for the event, the House Manager will hire ushers. The Renter will not be expected to make seating available for paid ushers.

ADA Compliance

UNCW Kenan Auditorium is a place of public accommodation and is accessible to disabled persons and in compliance with the Americans with Disabilities Act.  UNCW Kenan Auditorium is responsible for permanent building accommodations such as, but not limited to, wheelchair ramps, door width standards, assistive listening devices, and restroom accessibility.

The Customer is responsible for non-permanent accessibility requirements such as, but not limited to, auxiliary aids for visually impaired, hearing impaired and mobility impaired such as interpolators and captioning.  The Customer shall be responsible for any actual and reasonable costs associated or required by UNCW Kenan Auditorium to meet the requirements for non-permanent accessibility requirements.

The Customer will further ensure that registration tables, structures, exhibits, displays, and other temporary improvements made or placed by the Customer within the premises and that Customers activities and programs in connection with the lease of the premises shall comply with all applicable standards of the Americans with Disabilities Act and are accessible to and usable by individuals with disabilities.

In the event the Customer or any of its contractors, agents, invitees, or other persons on the premises cause the premises to be out of compliance with the Americans with Disabilities Act, UNCW Kenan Auditorium shall immediately remove the cause and return the premises to compliance, without notice to Customer.  No additional charges shall be made by the UNCW Kenan Auditorium or the Customer to any persons or patrons requiring such disability aids or services.  

UNCW Kenan Auditorium reserves the right to set aside from initial ticket sales, the number of accessible seats as outlined in the approved ticket manifest.  Such seats shall be located in various seating areas of the premises with such sections being determined by UNCW Kenan Auditorium.  If the accessible seating tickets are not sold before a sell-out of the event, all unsold accessible seats may be released at the discretion of UNCW Kenan Auditorium for sale to the general public.

Protection of Minors Policy

This Section applies where LICENSEE has minor participants of its activities. This section does not apply where the minors are not participants but are members of a publicly invited crowd.

LICENSEE warrants that it has secured the consent of the parent or guardian of all participants who are minors (under the age of 18 years) and that said consent expressly includes participation by the minors in the LICENSEE’s activities. All of LICENSEE’s employees, agents, or volunteers who are 18 years old or older and who will work closely with, supervise, instruct, or otherwise come into direct, non-incidental contact with minors, are considered “COVERED INDIVIDUALS”. Guest speakers, guest lecturers, or guest instructors whose interaction with minors is limited and only in the presence of COVERED INDIVIDUALS are not considered COVERED INDIVIDUALS. By signing this agreement, LICENSEE acknowledges and certifies the following:

  • Using a qualified background check vendor, background checks will be conducted on COVERED INDIVIDUALS within a year of the LICENSEE’s usage that includes searches for criminal convictions (federal and in all states and counties in which the individual has lived), searches against the national and state sex offender registries. COVERED INDIVIDUALS whose background check reveals a prior criminal conviction for a sex offense, a crime against children, or a serious violent crime involving assault or injury to others may not participate in activities related to LICENSEE’s facility usage. Background and driver’s license checks should look back at least five years or since the Covered Individual reached the age of 18, whichever is shorter.

  • Appropriate training of COVERED INDIVIDUALS has occurred or will occur prior to the beginning of the activities regarding the protection of minors, including mandatory reporting requirements under NCGS §7B-301.

  • COVERED INDIVIDUALS will comply with relevant UNCW policies, including but not limited to the Minors Protection Policy, found here.

  • Has a contact list for all parents/guardians of minors. Will Notify UNCW if a harmful incident occurs to a minor.

  • UNCW may monitor compliance with requirements in this section. Breach of the terms in this section will be considered material to the contract.

Cable:

The Kenan Auditorium does not supply color media. Being a state agency in a town with no theatrical supply house, purchasing and receiving these items requires an average of three weeks.

Lighting System:

  • Power source is located DR, approximately 10' (3m) from proscenium arch. Company Connection/Road Show Power availability is two-200 amp VAC fused disconnect switches, 3-phase 120/208 volt, 4-wire ed from one 400 amp breaker. This power supply can be used in addition to or seperately from stage lighting system. Camlock connectors are permentantly installed to each panel and are available for use by the renter.
  • Control board, ETC Element 60/500, located in the rear of the balcony
  • Dimmers available are located in 2 ETC Sensor racks totaling 96 fully dimmable circuits. House and non-dim controls are housed in a Paradigm Architectural Control Center and is fully integrated with the house system.
  • Patch control is computerized. Headset stations are available.
  • All lighting positions require 2-pin and Ground 20 amp connectors.
  • All electric trusses have two schedule 80 pipes. Instruments can be double hung (above and below the wireway) if desired. Trim height is no greater than 20'
  • Balcony rail lighting is approximately 60' (20m) from the plaster line. Four circuits are available to feed six (6) PAR 56 units, used as curtain warmers. Dimmers 15-18
  • Ceiling ports, approximate 40' (13m) from plaster line, Dimmers 1 - 14 with dimmer 1 repeating on the stage left and right pipe ends and dimmer 8 repeating at the center.

Deadline for All Material

The deadline for all marketing material will be set by the Marketing and Communications Specialist once the contract process is underway. Materials submitted past the deadline will not be included in Kenan Auditorium’s standard marketing programs.

Approvals

All materials (printed and digital) or media that contain the Kenan Auditorium or the UNCW name must receive approval from the Marketing Manager prior to being distributed.

E-Marketing Service

UNCW Kenan Auditorium can assist the renter in marketing their event via electronic mail. Kenan Auditoriumwill work with the Renter to create E-blasts to market the show. These will be sent to all subscribers who haveopted in to receive marketing emails, and can include the following:

• Pre-Sale Promotional E-Blast: Included in Kenan Marketing Services Package A, detailed below. Sentprior to on-sale, promotes the event using the complete description and graphic, advertises pre-sale/On-sale information to opted-in subscribers.

Graphics

Renters must provide two images for online/ticketing use. These are to be 150 dpi, RGB, images in the
following sizes:

• 1920 x 1080 pixels
• 1080 x 1080 pixels

Announcement

No announcements or marketing may be done without 50% rental deposit, signed contract, and permission from the UNCW Kenan Auditorium staff. Doing so may result in loss of ticket sales and cancelation of your event.

Booking/Renting

Q. How much does it cost to rent UNCW Kenan Auditorium?
A. UNCW Kenan Auditorium does not work on a flat rate. The fee schedule will indicate the various costs for rent, staff, ticketing, and parking.

Q. Who do I contact to check available dates and/or reserve a date?
A. Contact the Director of Artistic Operations, Jeremy Summers.

Q. Is a deposit required and how much is it?
A. Yes. Kenan Auditorium requires a nonrefundable deposit in the amount of your individual projected facility rental fee. Deposits will not be accepted without a signed contract.

Q. Will I receive confirmation of my reserved date?
A. Yes. You will receive a confirmation via email for all reservation holds and confirmed date(s) from the Director of Artistic Operations, Jeremy Summers.

Q. I need to cancel my reservation/event. What do I do?
A. Contact the Director of Artistic Operations, Jeremy Summers.

Technical/Production

Q. Can I arrive early to set up?
A. No. You are expected to arrive at the time indicated as "KA Client/Renter arrival time" on your contract. Call time for the crew is generally one hour prior to your arrival. The crew/staff need time in the space to prepare for your specific event/show. They cannot complete the necessary tasks with you there. You will not be allowed entry into the building until your designated time. If you need more time to set up than you have contracted, please contact the Director of Artistic Operations, Jeremy Summers, to reschedule your arrival time.

Q. Does Kenan Auditorium provide all sound and lighting equipment?
A. Kenan Auditorium has state-of-the-art audio, video and lighting equipment that is included in the rental cost. If you have specific equipment needs not found in our inventory you will need to hire it out.  Kenan Auditorium Technical Inventory.

Q. I need to show a video. What format does Kenan Auditorium support?
A. Kenan Auditorium can support Blu-ray, DVD, PC, and Mac-based formats. 

Q. Can I bring my show music on an iPod/MP3 player?
A. Yes. You must have all audio in show order and edited for pla y.

Q. Will Kenan staff edit or produce the media for my show?
A. No. All media needs to be show-ready in a format compatible with venue equipment.

Q. Our Music is on 10 different CD's and 2 songs are on an iPod. Can we just give them to the sound guy before the show?
A. No. All media needs to be compiled to one format (CD/MP3/iPod/PC) edited for play and in show order.

Q. Who will be there to assist when we arrive?
A. Manuel Fernandez, Technical Director, and the assigned crew will be on stage ready to assist.

Q. Can we have specific sound and lighting cues for our show?
A. Yes. It will be necessary to have rehearsal time for sound and light cues.

Q. Will Kenan record my performance for me?
A. No. Kenan Auditorium is not equipped to record audio or video for its clients.

Staff/Crew

Q. Does Kenan Auditorium have a staff/tech crew?
A. Yes. All tech, house and box office staff are arranged by Kenan Auditorium.

Q. Do I have to use Kenan Auditorium staff/crew?
A. Yes. However, show-specific staff may be augmented with renters' volunteers or company staff with approval and coordination from the Director of Artistic Operations,  Jeremy Summers.

Food/Drink

Q. Can we sell snacks and drinks in the lobby?
A. No. Outside food and beverages are not allowed in Kenan Auditorium. 

Q. Can we bring meals in for the cast?
A. Yes. Catering services are available through the University. Please contact the Director of Artistic Operations,  Jeremy Summers, for more information.

Parking

Q. Do I need parking staff?
A. Yes. Unless the expected attendance will be less than 100.

Q. How much does it cost?
A. The renter's cost is relative to the number of parking attendants the event requires. That number is predetermined by UNCW Auxiliary Services and dependent on the event attendance. Costs range from $126.00 to $345.00 per event. A parking facilities fee is charged to all renters in the amount of $100.00 in addition to the parking attendant rate.

Q. Do patrons have to pay to park?
A. No. Patrons do not pay to park.

Box Office/Ticketing

Q. Who do I contact to set up my tickets?
A. Patron Services Manager,  Abigail Beck.

Q. Can I print my own tickets?
A. No. All tickets must be printed through the UNCW Arts Ticket Office located in Kenan Auditorium, but may be sold by other outlets if you prefer.

Q. How is sales tax calculated?
A. You have the option to have tax included in your ticket price (recommended) or added on top of the ticket price. We will handle the reporting of sales tax to the NC Department of Revenue. If tax is included in the ticket price, patrons are less surprised by the cost, and at-door sales move much faster.

Q. What does the ticket sales commission fee cover?
A. UNCW Arts Ticket Office located in Kenan Auditorium is staffed during regular business hours to answer phone calls, and process mail orders and in-person sales. For most events, we collect as much patron information as is feasible, and can upon request provide a report of ticket holder contact information that will help in future marketing. Commission fee covers these services.

Q. How soon can I get my tickets?
A. Once we have received a signed contract you may set up your ticketing options with the ticket office. The turnaround is typically a couple of days, but not more than a week.

Q. Will my tickets be available online?
A. In most cases, tickets can be made available online. If applicable, we can provide you with a link to online sales for use with websites and social media.

Q. Can I get daily Ticket Office sales reports?
A. Yes. Automated snapshot reports can be delivered to up to 10 email addresses of your choosing. These reports are available to be delivered daily or weekly. Speak to Patron Services Manager, Abigail Beck for more information.

Payout/Invoicing

Q. Does Kenan Auditorium payout at the end of the show?
A. No. Receipts for cash, credit card, and check sales are deposited at the end of each business day into a University Trust Fund. A University check will be issued within thirty (30) days of the last performance in the amount of gross sales, less expenses, based on the Ticket Office final report for ticket sales.

Q. When will I receive an invoice for my event/show?
A. Typically within one week of event date completion, but no later than 30 days.

Q. Can I pay my deposit/invoice with a credit card?
A. Yes. Please contact the Director of Artistic Operations, Jeremy Summers, for more information.

Q. Can Kenan make the check out to my promoter/partner instead of me?
A. Checks will be made payable to the contact/signee on the contract. No exceptions.
