Agency Airfare

InTravel LogoUNCW has contracts with two travel agencies to make airfare arrangements that are directly billed to the university. This is the only way to have the airfare prepaid for an employee, student group, non-employee (prospective candidate), and student employees. The three travel agencies are Maupin Travel, and Fellowship Travel International (International Programs Study Abroad ONLY).

If the airfare is for an Employee, Non-Employee, Student Employee, Student (not on payroll) or Student Group you will need to have a pre-approval created and approved in Chrome River. Enter the airfare for the Employee or Student Employee under Agency Airfare and be sure to choose paid by the travel office in the drop down box. If this is for a Student Group then you would only enter the Faculty/Staff member's airfare under Airfare and the rest of the group you would send an email to the Travel Office with the student names, travel dates, travel authorization number, dollar amount, fund and a copy of the itinerary. If personal time is attached to the trip you will need to provide a comparison quote roundtrip from ILM to destination from the same airfare provider on the business dates. Please upload the comparison to the pre-approval and expense report. You will need to include a comment explaining any personal time. If the cost of the airfare for the business dates is less than the cost of the personal airfare, traveler must write a personal check to UNC Wilmington for the difference and submit to the Travel Office.

If not flying from ILM, traveler must provide justification and comparison quote for round-trip out of ILM. Please upload a comparison to the pre-approval and expense report. Traveler will not be reimbursed mileage or extra per diems that exceed the amount of the round-trip out of ILM. A comment must be included explaining the reason for not flying out of Wilmington.

Real ID

  • In 2005, The REAL ID Act was passed by Congress to set the standards for the minimum security standards for the issuance of identification, such as a driver’s license. Beginning on October 1, 2020 all travelers boarding an aircraft who are 18 years or older will be required to present a REAL-ID compliant driver’s license or another acceptable form of ID to fly within the U.S.  As this date is quickly approaching, please remind your travelers to check for the gold star to ensure they will not encounter any issues traveling in late 2020. If a traveler does not have a REAL-ID, please encourage them to complete the processes quickly, as the lines at DMV’s are expected to grow as the date approaches. The TSA Website provides additional details regarding the REAL-ID.

Basic Economy

  • As a reminder, Basic Economy flights can only be booked directly with our team of advisors versus through the online booking tool. As Basic Economy flights are not business travel friendly due to their restrictions on changes, cancellations, and seat assignments, our team prohibits these fares from appearing on the online booking tool so that a traveler does not accidentally book without knowing their restrictions. Should a traveler wish to book a Basic Economy fare, our team is happy to assist with the reservation.

Fellowship Travel International (FTI) - Only For International Programs Study Abroad

FTI

FTI is a full-service travel agency, offering international air & land arrangements, travel insurance & for more than 30 years. They specialize in partnering with faculty members to create study abroad, service-learning and volunteer trips. Their relationships with in-country vendors give them the ability to craft custom itineraries designed around the school's curriculum. Thus, students and faculty can take advantage of unique experiences relevant to their coursework.

In the past year alone, they've served approximately 200 collegiate clients (both individual institutions and consortiums). So, they are familiar with the specific needs associated with this type of travel, including: safety and security, itineraries, and meeting a professor's expectations for his or her course. The diverse staff also brings extensive personal knowledge of countries around the globe. They've traveled to 148 countries & speak a dozen foreign languages. In fact, twenty-five percent of FTI's associates were born or lived abroad.
