Project Submissions and Timeline

  • Project requests should be submitted two weeks in advance by completing the project request form. Be as detailed as possible. A member of the Marketing and Communications (MarComm) team will follow-up with you if more information is required.
  • Once MarComm receives a project request, MarComm will brainstorm, design, create a draft(s) and send a proof for review. The timeline for delivery of the final product varies. Proofing by multiple parties and subsequent edits may delay final production.
  • If printing of the final product is needed, MarComm works with the UNCW Print Shop or an outside vendor. A print request form must be completed and submitted to Business Core Services Team for a fund code. MarComm will then submit the approved paperwork and design files for printing. Production times vary based on the vendor’s schedule.

A brochure or video can be helpful resources for promoting a program, but it’s important to have a plan that focuses on getting the right information to the right people at the right time. Digital Signage

The primary purpose of digital signage in Veterans Hall, McNeill Hall and Trask Coliseum is to inform students, faculty, staff, and visitors about university-related announcements, services, resources, programs, events, as well as emergency messages.

The College's digital signage may be used on a limited basis for other campus units or organizations. Signage requests will be evaluated based on the appropriateness of their proposed location, placement within the location, proximity to other signage, and effectiveness in reaching their audience.

Please work closely with the CHHS MarComm team when deciding to purchase promotional merchandise, as we will need to work with a UNCW approved vendor and UNCW brand guidelines as well as trademark and licensing policies and procedures must be followed.

If you're interested in selling promotional items as a fundraiser, please email details about the fundraiser and promotional items requested to chhscomm@uncw.edu. The final design for all promotional materials must be approved by the Office of University Relations. The College’s Marketing and Communications department can facilitate the review process for you. 

The biggest thing to consider is ordering and fulfillment. How will items be purchased and who will fulfill the orders? A university-approved crowdfunding platform site can be used as these companies produce the item and ship directly to the buyer. Keep in mind, there are often minimum sales requirements and items are not produced and shipped until those minimums are met.

Sales can be handled internally through the UNCW Marketplace. Please be mindful that all items will need to be purchased prior to starting sales and a royalty fee will be assessed. Shipping costs and fulfillment will also need to be considered.

OUR Involvement & Style Guides

CHHS complies with the UNCW Office of University Relations (OUR) protocols. All marketing materials intended for external audiences (outside of CHHS) must be submitted to OUR for review. OUR requires up to seven days for review. Marketing materials intended for internal CHHS audiences do not require OUR approval.

Style Guides

  • CHHS follows the UNCW’s Brand Identity Guide (BIG) for all written and visual communications, including logo usage and branding.
  • The CHHS logo, brand assets and guidelines for usage are available upon request. To request the files and usage information, please send CHHS MarComm an email.
  • Use of the UNCW logo must be approved by OUR.
  • CHHS Marketing and Communications uses AP Style, which is the industry standard.

Events

MarComm works closely with the CHHS events coordinator to promote events. If your event requires marketing materials, please make the initial request for event support by completing the Events and Reservations Survey. There is no need for you to submit a separate request for marketing materials. The events coordinator will submit any requests for marketing materials directly to the CHHS Marketing and Communications team.

Social Media

In order to be officially recognized by the university, social media accounts must be registered. Please complete the registration form and an Office of University Relations (OUR) administrator will contact you. Additionally, OUR developed these social media guidelines and best practices. 

Remember to follow these tips, tricks and best practices:

  • Follow the University’s brand guidelines – See OUR's Brand Identity Guide
  • Adhere to the UNCW Privacy Policy.
  • Respect copyright and fair use.
  • Verify information before you post it.
  • Make sure your links work.
  • Try to create dialogue. Give your followers something to respond to or act on.
  • Be relevant and timely!
  • Post fresh content regularly.
  • Use visuals: an image, video or GIFs. Note: Video is by far the most popular form of content shared on social media, on all platforms. 
  • Keep it short and relevant. Include a web link if a longer message is needed.
  • Incorporate relevant hashtags, but not too many.
  • Use emojis effectively.
  • Interact with your audience.
  • Post at nights and on the weekends too. Saturdays and Sundays see high interactions.
  • Don’t set up an account if you’re not going to feed it regularly.

External Vendors

Faculty and staff who wish utilize the services of an external vendor must coordinate with CHHS' Business Core Services Team before work begins to ensure the vendor is approved. Upon completion, a final proof must be sent to CHHS M&C and OUR for approval. Upon approval, all finished source files must be sent to OUR for the university's records/future use.

Use of Software

If a marketing-related software (email marketing or social media management platforms, apps, etc.) is needed, you must engage the review of ITS and Purchasing before reviewing or discussing software products with vendors.
