This document provides university guidelines for shipping and receiving.
Scope
This policy applies to all university departments, staff, faculty, and student organizations.
Policy
To provide the university with a centralized location to receive and distribute small parcels and freight.
Delivery
UNCW Shipping and Receiving delivers, collects, and processes small parcel and freight packages for incoming/outgoing shipping.
Purchased commodities that pertain to the University operations, programs, and activities.
Prohibited Uses
Personal or for private usage;
Organizations, groups or businesses not officially affiliated with UNCW or the State of NC;
External promotions, advertisements or solicitations;
Political entities.
Department chairs and managers are responsible for setting reasonable rules for the distribution of small parcels in their areas. Note the following:
Small parcels may be opened by department personnel other than the addressee in accordance with the guidelines established by the department head.
Items marked “Confidential” should be forwarded to the addressee unopened.
Time-sensitive items received by Warehouse Services (such as the Cashier's Office, Public Service or other areas that receipt checks), may be opened by department personnel to determine delivery location if one is not clearly present on the packaging.
No Contact Delivery (Effective September 1, 2020)
All small parcels that do not exceed 16in(L)by 12in(W)x 12in(H)will be delivered to Campus Post Office Box located within the receiving department’s main office building.
Department administrators will be responsible for the daily retrieval of small parcels from campus post office boxes.
Warehouse Services will continue Direct Delivery when packages exceed 16”x 12”x 12”.
Outgoing Shipping – Formerly Aux Policy 4.20
For the convenience of faculty and staff, outgoing small parcels may be processed from departmental desktop, retrieved by warehouse staff and shipped outgoing in accordance to shipping preferences.
Shipping and Receiving does not deliver or pick up personal packages. The UNCW Warehouse Services Manager is authorized to determine if a package is personal in nature.
Incoming Parcels and Freight
All parcels and freight will be delivered within 72 hours, maximum, of being received by Warehouse Services.
All damaged parcels/freight will be visually inspected for damages before it is received. The warehouse manager will determine returns due to damage, and documentation and/or photos of damaged goods will be provided to the expected recipient.
UNCW Shipping and Receiving is authorized to open any parcel package that has an improper address or is incorrectly addressed to determine the appropriate distribution. UNCW Shipping and Receiving Services is authorized to screen parcels and use discretion in handling suspicious packages. UNCW Shipping and Receiving Services may collaborate with UNCW Police and/or EH&S in this process.
