Hurricane Florence FAQs

HOW CAN I GET INFORMATION ABOUT MY SPECIFIC ROOM AND/OR PROPERTY IN MY ROOM?
Due to the need to focus on bringing UNCW back online as scheduled, HRL will be unable to provide updates on individual rooms or a specific student’s personal property.
Information has been communicated to students where significant damage has occurred, but we are unable to communicate damages on a room-by-room basis.

CAN I RETRIEVE ANY BELONGINGS FROM MY ROOM BETWEEN NOW AND WHEN I MOVE BACK IN?
Unfortunately, we are unable to provide individual access to rooms while the residential spaces are undergoing remediation and repair work. Students will not be permitted to enter residence halls before 10 a.m. on Oct. 6.

WHAT HAS BEEN DONE TO MAKE THE RESIDENTIAL FACILITIES SAFE FOR LIVING?
UNCW is working with a variety of professionals to ensure all campus spaces pass appropriate environmental health tests before being occupied. In addition, an outside disaster recovery company has been contracted to do recovery work, including cleaning and sanitizing residential spaces.   

WHO ENTERED MY ROOM WHILE I WAS AWAY?
Any individuals who entered your room were either UNCW staff and/or staff hired by UNCW to evaluate and repair your space.  

WHAT SHOULD I DO IF I LOST MY HOUSING ROOM KEY/ONE CARD?   
Contact the front desk of your area for any lost keys or lockouts. If you have misplaced your OneCard, please contact the OneCard office in the Warwick Center.

WILL ALL SERVICES BE RESTORED WHEN I RETURN TO LIVE ON CAMPUS (LAUNDRY, INTERNET/WIFI, CABLE, VENDING, IPRINT)?  
All residential services should be restored when the buildings open for occupancy. If you should find any services not operating correctly, please report the issue to your HRL staff.

DO I NEED TO CHECK IN WHEN I RETURN?
Students do not need to check in when they return to campus and can proceed directly to their rooms. As all housing doors were locked, if a student lost their room key, they will need to go to their area desk to get a loaner key.  

WILL THERE BE MOVING BINS AVAILABLE WHEN I ARRIVE?
Yes, there will be a limited number of moving bins available at the front desk of your residential area.

WHAT IS THE EARLIEST I CAN MOVE BACK INTO MY RESIDENCE HALL?  
Residence halls will open on Saturday, Oct. 6 at 10 a.m.

WILL THERE BE ANY STAFF PRESENT TO ASSIST ME WITH ISSUES OR CONCERNS?
University staff will be available to assist residents with any questions or concerns they have when they return. Staff will be available until approximately 5 p.m. on Saturday.

WHAT DO I DO IF MY FRIDGE OR FREEZER SMELLS?
We will have some basic cleaning supplies available at your area desk that you can use to clean your appliances. We suggest you dispose of any items left in your fridge or freezer as the university did lose power during the storm and your food may be inedible.  

WHAT SHOULD I DO IF I RETURN AND DISCOVER A FACILITY ISSUE IN MY ROOM THAT WAS MISSED DURING THE HURRICANE RECOVERY PROCESS?
You can submit a maintenance request for any university-owned furniture/appliance that is damaged or not working properly. To submit a maintenance request, you must follow the instructions on your Seaport account. 

1. Click on the Student Tab  
2. Click on Request Now on the Housing Maintenance Request Form box on the right.
3. Read instructions and click “proceed.” On the next screen, click the link to continue to the Maintenance Request Form.
4. Fill in the description of the problem with as much detail as possible and then click “Submit Request.”  

WHAT DO I DO IF MY RENTED FRIDGE IS DAMAGED?
There should be a number on the micro-fridge that you can call to report the damage. You can also visit the company’s website to contact them to request a replacement: http://standardsforliving.com/school-info/uncw

WHAT DO I DO IF SOMETHING IS MISSING FROM MY ROOM?
You can report any missing belongings to the Residence Coordinator of your area. We also encourage you to call University Police at 910-962-2222 to file a report. (Please note that University Police should not be contacted unless you believe criminal activity has occurred.)

WHAT SHOULD I DO IF THERE IS DAMAGE TO ANY OF MY ROOM’S UNIVERSITY PROPERTY?
We have attempted to identify and replace any damaged university furniture. If you discover any issues, please report them using the Maintenance Request form. Until we respond, please keep all university-owned property in your space.

CAN I HOST AN OFF-CAMPUS STUDENT WHO IS TEMPORARILY DISPLACED?
At this time, we are working diligently to accommodate residential students. Off-campus students needing assistance should email Florence@uncw.edu and we will do our best to help.

WILL AREA DESKS RESUME REGULAR 24/7 STAFFING AFTER OPENING?
All desks will return to normal operations once the area is open for occupancy.  

WILL HRL STAFF BE AVAILABLE AND ON-CALL AFTER OPENING?
HRL staff will return to normal operations once the area is open for occupancy. An RA will be reachable via your front desk for any issues or concerns during non-business hours.

WHEN WILL OPEN ROOM CHANGE BE HELD?
At this time, Open Room Change has been placed on hold as UNCW prioritizes assisting those affected by damage and displacement. We recommend you reach out to your Resident Assistant to complete a roommate agreement and to receive assistance working through roommate conflict concerns you may have.

HOW DO I RETRIEVE MY BIKE, CARPET OR CLEANED PERSONAL ITEMS?
Your bike and carpet can be picked up between the hours of 8 a.m. and 4 p.m., Monday-Friday, at the Housing Maintenance Warehouse located on Sawtooth Drive. Items that were cleaned will be returned to rooms.  
 
WHAT IF MY PERSONAL PROPERTY IN MY RESIDENCE HALL OR MY CAR (PARKED ON CAMPUS) HAS BEEN DAMAGED AS A RESULT OF THE STORM?
The university is unable to reimburse students or employees for any loss or damage to personal property. As an alternative, you may be able to seek assistance through: I WANT TO MOVE TO ANOTHER RESIDENCE HALL. WHAT ARE MY OPTIONS?

I’VE HEARD MY OFFICE/RESIDENCE HALL IS IN GOOD CONDITION. CAN I RETURN TO IT BEFORE OCTOBER 1 (EMPLOYEES/OFFICES)/OCTOBER 6 (STUDENTS/RESIDENCE HALLS)?
Campus remains closed until the dates announced on Wednesday, Sept. 26.

I’VE HEARD MY OFFICE IS IN GOOD CONDITION. CAN I RETURN TO IT BEFORE OCTOBER 1 (EMPLOYEES/OFFICES)/OCTOBER 6 (STUDENTS/RESIDENCE HALLS)?
Campus remains closed to employees until October 1. Students will not be permitted to enter residence halls until 10 a.m. on Sat., Oct. 6.

HOW DO I HANDLE MY TIMESHEET WHEN I RETURN TO CAMPUS?
For the time that employees were away on Condition 3 (beginning at 5 p.m. on Tuesday, September, 11), they will code their scheduled hours of work as “Emergency Closing Hours.”   Human Resources will share additional instructions with each division/department’s leavekeeper, who will advise accordingly. If you have questions your leavekeeper can’t answer, please contact Patti Hale at halep@uncw.edu.  

WHEN WILL REFUNDS BE SENT IF THEY WERE IN PROGRESS BEFORE THE EVACUATION?
For refund checks processed and printed on September 11th prior to campus being closed: We will be processing additional pending refunds on Monday, October 1st and the checks will be printed on Wednesday, October 3rd. These checks will be available at the Cashiers Office in Warwick beginning Thursday, October 4th.  Direct deposits will also be available Thursday, October 4th.

CAN I PICK UP MY REFUND CHECK?
If the check has not been mailed, you can stop by the Cashier’s Office in Warwick and pick up the check. Please call first (beginning Monday, Oct. 1) to make sure the check is there. The numbers are 910.962.7492 or 910.962.3164.

WHOM CAN I CONTACT WITH QUESTIONS ABOUT A REFUND I HAVE NOT YET RECEIVED?

I HAVE QUESTIONS ABOUT THE POTENTIAL IMPACT OF THE HURRICANE ON MY FINANCIAL AID?
Please contact the Office of Scholarships and Financial Aid at 910.962.3177.

CAN THE UNIVERSITY HELP ME WITH INSURANCE OR FEMA CLAIMS?
Unfortunately, we don’t have the resources or the expertise to help with claims, but we will investigate options in the community and will later update.

WILL I BE REIMBURSED FOR RUINED TEXTBOOKS?
Unfortunately, we are not able to reimburse for the loss of personal property, including textbooks.

WILL I RECEIVE A REFUND FOR ANY PART OF THIS SEMESTER’S TUITION?
As students will receive a full semester of instruction (given the adjustments being made to the academic calendar), we are not able to offer a tuition refund.

SHOULD I CALL UNIVERSITY POLICE REGARDING ITEMS THAT MAY HAVE BEEN DAMAGED DURING THE CLOSURE?
The damage to, or loss of, personal property as a result of a weather event is not a police matter. Please do not contact University Police unless you believe criminal activity may have occurred.

WILL I RECEIVE A REIMBURSEMENT FOR HOUSING FOR THE DAYS THAT THE UNIVERSITY WAS CLOSED?
This has not yet been determined.

WILL I RECEIVE A REIMBURSEMENT FOR MY MEAL PLAN?
Yes. Dining Services will prorate your “All-Access” meal plan. The “All-Access” meal plan proration will be based on the number of days missed, minus the number of days made up during the fall break. Information on this and other meal plan refunds will be posted on the Dining Services webpage.

I AM A STUDENT WHO NEEDS EMOTIONAL SUPPORT IN RESPONSE TO THE HURRICANE. WHOM CAN I CONTACT?
The Counseling Center will be scheduling appointments as usual beginning the week of October 8th and will continue to offer walk-in hours on a daily basis (Monday through Friday). If you are in crisis, here are some numbers you can use:
I HAVE ADA CONCERNS ABOUT MY ABILITY TO NAVIGATE CAMPUS WITH STORM DEBRIS, PARKING LOT CLOSURES, ETC. WHOM CAN I CONTACT?
Please contact the university’s ADA coordinator at ADA-504-Coordinator@uncw.edu.

HOW DO STUDENTS APPLY FOR FINANCIAL ASSISTANCE FROM THE UNIVERSITY IF THEY ENDURED DEVASTATING DAMAGE TO THEIR PERSONAL PROPERTY?
As soon as this information is available, we will share it on the Campus Emergency Fund website.

WHAT IS THE SCHEDULE FOR WITHDRAWALS MOVING FORWARD?
The schedule will be adjusted to reflect our new academic calendar, and will be posted on the Office of the Registrar’s website.

HOW CAN I DONATE TO THE CAMPUS EMERGENCY FUND TO ASSIST STUDENTS?
The Campus Emergency Fund provides financial assistance to UNCW students personally affected by natural disasters like Hurricane Florence. Requests and allocations of funds will be managed by the Office of Dean of Students. Click here to give online or to learn about other ways to support the Campus Emergency Fund.

HOW CAN I HELP WITH RECOVERY EFFORTS?
The Office of Community Engagement is working with regional partners to provide a list of agencies seeking volunteers and support for recovery efforts. Visit the Office of Community Engagement Facebook page for more details.

MY APPLICATION TO UNCW WILL BE DELAYED BECAUSE OF THE HURRICANE. WILL THERE BE A GRACE PERIOD?
We will commence with reviewing applications as soon as the university reopens. The deadline will be extended and more information will be posted on the Admissions webpage.

MY APPLICATION TO STUDY ABROAD  WILL BE DELAYED BECAUSE OF THE HURRICANE. WILL THERE BE A GRACE PERIOD?
This is under review. Please check the International Programs webpage for updates when available.

MY LIBRARY BOOKS ARE OVERDUE AS A RESULT OF THE CLOSURE. WILL THERE BE A GRACE PERIOD?
Randall Library will waive any fines incurred during the evacuation period. More information will be posted on the library website the week of Oct. 1.

I HAD A CAMPUS TOUR SCHEDULED FOR OCTOBER. HOW WILL I KNOW IF IT WILL STILL TAKE PLACE?
Once campus reopens to employees on Oct. 1, please continue to check the UNCW Admissions site for updated information about tours and other events.

WILL SEAHAWK SATURDAY BE RESCHEDULED?
Yes! We will announce a new date (likely late October) as soon as it is confirmed. Please continue to check the Admissions website and the UNCW homepage.

I AM A STUDENT-ATHLETE. WILL MY FALL SCHEDULE BE CANCELED? WILL THE STATUS OF THE FALL SCHEDULE AFFECT MY SCHOLARSHIP IN ANY WAY?
Student-athletes should consult with their coaches about any concerns and coaches will assist in any way they can.

I AM WORRIED I AM GOING TO FALL BEHIND IN MY COURSES. WHOM CAN I CONTACT FOR HELP?
We encourage you to speak to your professors, to start. We have developed a plan for faculty to make up for the lost instructional time. Faculty have always been flexible and compassionate in terms of special circumstances.

WILL I BE PENALIZED BY MY PROFESSORS FOR MISSING WORK OR EXAMS AS A RESULT OF THE HURRICANE? WHAT IF I CAN’T GET BACK UNTIL AFTER CLASSES RESUME?
Students will not be penalized for academic work missed during the closure. Students are expected to be back in class on Oct. 8 and should discuss any extenuating circumstances with their professors.

I HAD PLANS FOR FALL BREAK THAT I NOW HAVE TO CANCEL BECAUSE OF THE HURRICANE’S IMPACT ON THE ACADEMIC CALENDAR. WILL I PENALIZED IF I CAN’T ATTEND CLASSES DURING FALL BREAK?
Students will be expected to attend class during fall break, but should discuss any extenuating circumstances with their professors.

I HAD TRAVEL PLANS FOR FALL BREAK THAT I NOW HAVE TO CANCEL. WILL THE UNIVERSITY REIMBURSE ME FOR LOST AIRLINE TICKETS, ETC.?
We regret the necessary change in the move-in timeline, but we are unable to reimburse students for any purchases made in this regard.

WHEN WILL ATHLETICS EVENTS BE RESCHEDULED?
You can check for information on rescheduled Athletics events by checking the UNCWSports.com site each day starting Monday, Oct. 1.
