A. Purpose.
Establishes university policy and procedures for the placement of copiers and duplicators on the UNCW campus.
B. Scope.
Applies to all university departments and activities
C. Policy.
1. Description and Use of Localized
Copiers.
Localized copiers have been placed for convenience and for low-volume copying
per original by departments. More than ten copies of an original can be produced
at a lower per-copy cost to departments at the Copy Center. Localized copiers
are activated by a departmental or individual copy card or by an auditron
key.
2. Description and Use of Duplicators.
Duplicators are designed for a high volume of copies made from each document
and are primarily intended to meet the needs of academic departments in preparing
classroom handouts. A duplicator requires the preparation of a master in order
for duplication to take place.
3. Uniform Access by University
Departments.
Printing Services provides and maintains all campus copiers and duplicators.
a. Placement of Copiers. Each university building contains at least one copier. Additional copiers are placed in a building or department based on a justification of volume or special need.
b. Placement of Duplicators. Duplicators are placed in a building based on a justification of the expected total building usage volume.
4. Uniform Cost to University
Departments.
In developing a fair per-copy cost, high-volume users are averaged with low-volume
users for the same type of reprographic equipment. This policy guarantees
that:
- All university departments and activities have
uniform access to copiers at the same
per-copy cost regardless of usage volume or location, and
- All university departments and activities within
a qualifying building have uniform
access to a duplicator at the same per-copy cost regardless
of usage volume.
D. Procedures.
1. Requests for Reprographic
Equipment.
Any department or activity wishing to request a duplicator or an additional
copier must forward a justification memorandum to the Printing Services Manager.
a. Justification for Additional Copiers. Justifications may be based on volume or on special need. (An example of special need is inaccessibility during evening hours to the copier used during the working day.)
b. Justification for Duplicators. Justifications is based on total usage volume per building.
2. Decisions Rendered. Printing Services will evaluate the request and notify the department in writing of the action to be taken, usually within ten working days.
3. Appeals.
Appeals of the Printing Services decision must be made in writing to the Director
of Auxiliary Services within ten working days of the receipt of the decision.
The Director of Auxiliary Services will discuss the appeal with the appropriate
Vice Chancellor; and the department will be advised of the decision as soon
as possible.
4. Departmental Charges.
Copying and duplicating charges are posted directly to the departments' accounts
by the 10th of each month for the preceding month's copies.
